For each project, we set out the work, responsibilities and tests across the following four areas, based on the selected tools, partners and client environment.

Define the users and the task
Starting with a teaching activity or organisational task, identify the main users, input data, expected output and a complete usage workflow. Schools that have already selected a teaching solution can proceed directly to implementation.

Configure the product for your environment
Coordinate accounts, permissions, basic configuration, system connections and technical interfaces with suppliers, according to the product and agreed partner arrangements.

Check the IT requirements
Review devices, client software, connectivity and network conditions in the relevant classroom or workplace. Site surveys or remedial work are quoted separately according to the engineering work required.

Test real usage workflows
Turn key functions into test items, arrange for client representatives to participate in UAT, and provide the agreed test records, account or configuration details and user handover documents.

AI teaching solution implementation
Once a school has selected a teaching solution, AlphGa works with the supplier to coordinate installation, configuration, accounts and permissions so teachers can try it in real lesson workflows.
Subject department onboarding support
Where needed within an implementation project, we can work with one or two teachers on a lesson workflow, an onboarding session and related usage materials.
School network and device integration
If classroom coverage, network segments, devices or client software affect usage, we can arrange separate testing and a quotation for the required engineering work.

How an AI application moves into implementation

Provide details of your application
Describe the users, teaching or work context, existing tools and intended timeline. Schools can provide teaching objectives, preferred products and classroom details; businesses and organisations can provide current work steps, data sources and the systems involved.

Review tools and technical requirements
Document account, device, system interface, network and supplier coordination requirements. If you are still comparing a shortlist of products, we provide a limited comparison of partner solutions whose arrangements can be verified at that time.

Define the work and responsibilities
The quotation lists product licences, implementation services, partner work and any required engineering work separately. Test items, timing and handover content are defined before work begins.

Implement, test and hand over
Complete the agreed configuration and connections, enable client representatives to conduct UAT using real workflows, and provide the relevant records and handover materials.
Who needs to be involved?
Client representative
The school or organisation appoints a contact, provides accounts and available access or usage times, and arranges for actual users to participate in testing and sign acceptance records.
Product supplier
The supplier provides information on product licences, functional limitations and advanced technical support, and assists with product configuration and testing.
Department onboarding facilitator
If the school selects subject department onboarding support, the quotation specifies whether AlphGa, a partner or the product vendor will lead the session. The school arranges the participating teachers.

Frequently asked questions
Can I enquire before choosing an AI tool?
Yes, we can have an initial discussion. If your school has a shortlist of products, we can offer a limited comparison of solutions with established partnership and delivery arrangements at that time. Businesses and organisations can share their current practices and the task they want to improve. Comprehensive market research or unlimited product comparisons are outside the scope of this initial discussion.
How will student, employee or organisational data be handled?
Data handling depends on the selected product, supplier terms, data storage location and client policies. Before the project begins, account permissions, permitted data and relevant terms, including data processing agreements (DPA), should be reviewed. Final legal and privacy decisions remain the responsibility of the school or organisation.
Can you provide support after the project is completed?
A limited number of support sessions or monthly support can be agreed separately according to the product and client needs. The quotation or service documents should specify the support provided, contact channels, service hours and supplier escalation routes.
